Front of House Manager Volunteer

  1. Arrive at the theatre one half hour before the lobby opens (1.5 hours before showtime).
  2. The FOH keys are in the key box on the wall beside the mailboxes, just inside the door. To open the box, dial the code and turn the handle, take out the keys, close the box and turn the dial to lock it. If the keys are not in the box, check with the Stage Manager.
  3. Open the drop box on the inside of the door and remove the envelope(s) for the Box Office. This has been sent by courier from TIX and dropped off earlier in the day. DO NOT remove any mail for the theatre, the Administrator will look after this when he/she comes in next.
  4. Turn on all lobby and outdoor lights; switches are to the left of the drink cooler. Additional switches are on the wall above the Artistic Directors’ plaque, in the middle of the front hallway.
  5. Switch on the coffee switch above the sink in the coffee bar. This machine takes some time to warm up.
  6. Along with the Coffee Bar volunteers, do a sweep of the theatre and make sure all litter is picked up in the seating area. The two seats on the bottom row, far left, should be reserved for the coffee bar volunteers to watch the show.
  7. The telephone on the BOX OFFICE counter is connected to the remote answering system. Disconnect it by turning the ringer to LOW on the telephone handset so it can be answered. After the box office person is gone, reconnect it to the answering system by turning the ringer to OFF.
  8. Check the lobby and washrooms for cleanliness and supplies. Empty any garbage cans and take to the dumpster behind the theatre. Replace with the appropriate size of bag; there are different sizes of garbage bags in the storage room by the coffee bar. Check to make sure there is sufficient toilet paper, paper towels, soap and hand sanitizer in both washrooms (brown bags in the women’s cubicles). Supplies are in the janitor’s room located in the handicap stall of the women’s washroom. The code can be found in the storage room.
  9. Unlock the cooler.
  10. Unlock the right-hand safe in the storage room with the round purple-dot key, and take out the coffee bar and box office cash boxes.
  11. If the beer or wine is running low, please contact the Bar Manager (on the Box Office call sheet) to let them know. If any other products are low contact the FOH Directors. Make sure you co-ordinate this with the coffee bar volunteer so that you both don’t call!
  12. One hour prior to show time, open the outside wooden doors and unlock the glass doors, press the door handle firmly forward while you are turning the key so that it remains unlocked. The inside glass door is to remain unlocked at all times as per order of the Fire Marshall.
  13. Discuss with the Stage Manager when he/she wants the lobby doors opened, the time and length of the intermission(s), where wheelchair patrons should be. There is also to be a form from the SM with these details on the board by the coffee bar.
  14. Ask for one of the coffee bar volunteers to assist at one of the lobby doors when you open them to take tickets and hand out programs. Give all the ticket stubs to the box office volunteer.
  15. Check the washrooms before informing the Stage Manager that the show can begin.
  16. Keep an eye on the time at intermission to make sure that it doesn’t run long. Flick the lobby lights two or three times to signal the end of the intermission. Check the washrooms again before contacting the Stage Manager.
  17. Lock the cooler after intermission, once all the supplies are put away.
  18. To ensure that deposits are made correctly, the FOH Manager should watch the box office and the coffee bar volunteers make their deposits into the slot in the left-hand safe in the storage room and then lock up their cash boxes in the right-hand safe. (If no sales are made, please drop an empty envelope with the date, etc.)
  19. At the end of the show, after all patrons have left:
  • Check the side EXIT door (west side of building) to make sure it is tightly closed
  • Ensure the coffee switch is OFF
  • Ensure the washroom lights are OFF
  • Lock exterior glass door are locked (leave the inside glass door unlocked as per order of the Fire Marshall)
  • Close and lock front wooden doors PLEASE PUT PADLOCK WITH THE KEYHOLE FACING UP SO IT IS EASY TO OPEN IN THE DARK/COLD!
  • Lock the storage room
  • ALL lights turned OFF.

20.  Lock the lobby door beside the staircase (that you came in by) and return the keys to the box.
